How I Turned a 30-Minute Manual Process into a 5-Second Automation

The Problem

Imagine needing information about one of your company's products—but the details you need are scattered across spreadsheets, emails, folders, different departments, and the knowledge of individual employees.


You need the product dimensions from one place. The UPC from another. The ingredients from somewhere else. Then you need to find the right product image, marketing description, packaging information, regulatory details, and brand logo. Once you finally find everything, you still have to copy and paste it into a document and format it.


That's the problem I encountered while working at a hair care manufacturer with a large portfolio of products sold through major retailers and distributors.


Creating just one complete product specification sheet could take more than 30 minutes. And the same information was needed repeatedly by sales, marketing, customer service, retail partners, logistics teams, and others.


I saw a simple underlying question:

Why should people keep searching for and recreating information that already exists?


The Solution

No one asked me to build a new system. I started because I saw an inefficient process and knew there had to be a better way. Beginning with a basic product specification template, I gradually built a centralized system that brought together information from across the company.


As new needs emerged, the system grew. A retailer needed inner-pack information? I incorporated it. Marketing needed product claims, descriptions, ingredients, and images? I integrated them. Sales and customer service needed quick access to complete product information? I designed an interface for them.


The final system brought together product specifications, packaging information, barcodes, ingredients, marketing content, regulatory details, images, logos, and other digital assets in one place.


But the most important part was that users didn't need to understand any of the complexity behind it. They simply selected a product from a dropdown menu. The system did the rest. It automatically retrieved the correct information, product image, logo, and branding and assembled everything into a professionally designed product sheet. Different products and collections could even generate their own color schemes automatically.


The Transformation

The old process looked like this:

Search → Research → Find → Verify → Copy → Paste → Format → Check → Save


The new process looked like this:

Select → Generate


What previously took more than 30 minutes could now be completed in seconds—an efficiency improvement of more than 99%. But the impact went beyond saving time.

The system made important information easier to find and use. It reduced repeated research and manual work. It helped prevent employees from using inconsistent information. And it made knowledge accessible to more people instead of leaving it scattered across departments or dependent on knowing the right person to ask.


From One Solution to a Larger Vision

As I continued expanding the system, I realized that the company ultimately needed something larger than Excel.


The solution I had built had become a working prototype of a much broader product information platform. I could see the potential for employees—and eventually external audiences—to search for products and immediately access accurate information and digital assets.


That realization led me to research dedicated Product Information Management systems. I participated in evaluating and selecting a PIM platform and later contributed to its implementation and employee training.


What began as an effort to make one frustrating task easier evolved into a complete innovation journey:


  • A basic template became an automated product sheet.

  • The automated product sheet became a centralized information system.

  • The information system became an internal product portal.

  • And the internal portal helped define the need for an enterprise PIM platform.

The result was a solution that:


  • Reduced a 30+ minute process to seconds.

  • Brought scattered product information together in one place.

  • Gave employees faster access to the information they needed.
